AI Adoption Transforming Medical Practices

Artificial intelligence is rapidly becoming indispensable in the US healthcare landscape. Recent data reveals that nearly half (43%) of medical practices have incorporated AI tools into their workflows for over a year. A significant portion of clinicians and IT staff, specifically 36%, are already leveraging AI for tasks like transcribing patient notes.

Beyond transcription, practices are increasingly using AI for managing documentation requirements, handling reimbursement claims, and employing AI as virtual scribes.

Streamlining Billing and Payer Communication with ChatGPT

For Ambulatory Surgery Centers (ASCs), efficiency isn't just a goal; it's essential for survival. Brooke Day, Administrator at Silver Cross Surgery Center, highlights the intense pressure on billing teams dealing with coding changes, denials, prior authorizations, and appeals.

“In the fast-paced world of ASCs, billing teams are constantly juggling coding changes, payer denials, prior authorizations and time-consuming appeals. Efficiency isn’t just nice to have — it’s survival,” Ms. Day stated. “That’s why ChatGPT has become one of the most useful tools we’ve brought into our workflow. It’s not just a novelty or a shortcut — it’s a real solution to one of our biggest time drains: payer communication.”

Ms. Day emphasizes the practical power of ChatGPT, suggesting intensive use is key.

“Here’s the truth: if you’re not running out of data on the free plan every day, you’re not using it enough. ChatGPT can quickly draft high-quality appeal letters, medical necessity statements and payer communications with professional tone and coding accuracy. It won’t replace your knowledge or clinical documentation — but it amplifies your speed and clarity, which matters when you’re managing hundreds of claims and every dollar counts,” she explained.

She shared concrete examples of prompts used recently to address claim denials:

  • 'Write an appeal letter for CPT 67121, denied as bundled with CPT 67041. Explain why 67121 (removal of silicone oil) is a separate service.'
  • 'Appeal letter for CPT 62323 denied for lack of medical necessity. Include LCD coverage and clinical indications.'
  • 'Write a medical necessity statement for CPT 41899 in an ASC for a patient with a mental health condition and obesity who cannot be treated in an office setting.'
  • 'Draft an email to Medicaid provider rep about ongoing denials for CPT 41899 despite correct use of a code on the fee schedule. Request a resolution path.'

“This isn’t just about tech — it’s about protecting your team’s time, improving cash flow and giving your staff the tools they need to win against unnecessary denials. ChatGPT is here, and it’s working.”

Easing Documentation Burden and Physician Burnout

Physician burnout is a growing concern, frequently linked to the heavy burden of documentation. AI offers a tangible solution. Technologies like ambient listening can automate the transcription of patient-provider conversations and help generate medical notes.

This automation frees up physicians, allowing them to dedicate more focus to patient interaction and significantly reduce time spent on administrative tasks, thereby alleviating stress and workplace burdens.

The Competitive Edge AI Offers ASCs

It's becoming increasingly vital for ASCs to adopt available AI tools like ChatGPT. As the healthcare sector engages in a continuous "technology race", practices embracing AI are gaining a distinct advantage.

While documentation assistance and ambient listening are prevalent uses today, the potential applications of AI in operating rooms and administrative functions are expanding. Healthcare leaders are exploring AI for sophisticated data analytics to predict surgical outcomes, enhance patient marketing and communication strategies, and optimize revenue cycle management.

The message is clear: integrating AI is no longer optional for forward-thinking ASCs.

“If you’re in billing and not treating AI like your smartest, fastest coworker — you’re already falling behind,” concluded Ms. Day.
